RULES
Policy Administration
These Exhibition Rules and Regulations are part of the contract between the exhibiting company and the Wisconsin Chapter of the Association of Public-safety Communications Officials (WI-APCO). WI-APCO shall have the authority to interpret and enforce these Rules and Regulations. All matters not covered by these regulations are subject to the decision of WI-APCO. All decisions so made shall be binding on all parties. The exhibit company or its representative who fails to observe these conditions or contract may be excluded from the Exhibition without refund.
Eligible Exhibits
WI-APCO has the sole right to determine the eligibility of any company or product for inclusion in the 2009 APCO North Central Regional Exhibition.
Assignment of Exhibit Space
Booth location will be assigned by WI-APCO based upon:
1. Exhibitors will be allocated space as available; however, WI-APCO will follow the general rule of “first-come, first-served”. No Exhibitor may assign or sublet the whole or any part of the allotted space; one company per booth unless previously approved by WI-APCO. Final allocation of exhibit space will be made by WI-APCO. WI-APCO reserves the right to relocate exhibit areas for the benefit of the Exhibitor or the betterment of the WI-APCO Exhibition.
Cancellation
In the event the Exhibitor cancels all or part of the exhibit space contracted hereunder, the following provisions shall apply:
1. If written notice or cancellation for partial and/or bulk booth space is received by WI-APCO prior to September 1, 2008, the Exhibitor shall pay a cancellation fee equal to fifty percent (50%) of the cancelled exhibit space rental fee.
2. If written notice of cancellation for partial and/or bulk booth space is received by WI-APCO after September 1, 2008, the Exhibitor shall pay a cancellation fee equal to the full one-hundred percent (100%) cancelled exhibit space rental fee. This cancellation policy includes reduction in booth space.
3. Exhibit space must be paid in full when due (September 15, 2008) per this contract. If total cost of such booth space is not paid in full when due, WI-APCO has the right to cancel such space. This does not relieve the Exhibitor of the obligation to pay the cancellation fee according to (1) and (2) above.
4. Any refunds due to the Exhibitor under this cancellation policy will be paid within 90 days after the ending of this exhibition.
5. WI-APCO reserves the right to exclude any Exhibitor who may have any outstanding debt to WI-APCO.
Set Up/Dismantle of Show
Hours and dates for set up and dismantle shall be those specified by WI-APCO.
Set up will be on Monday, April 27, 2009 from 7:00 a.m. until 11:00 a.m.
Dismantle will be allowed after 12:00 p.m. on Tuesday, April 28, 2009.
All displays must be erected and completely set up for viewing by WI-APCO by 11:00 a.m. on Monday, April 27, 2009.
Exhibitor shall be liable for storage and handling charges resulting from failure to remove exhibit material from the exposition at the conclusion of the dismantling period.
Show Hours
Show hours are from 11:45 a.m. until 5:00 p.m. on Monday, April 27, 2009 and 9:00 a.m. until 12:00 p.m. on Tuesday, April 28, 2009.
Please note that Tuesday evening is free. If you would like to host a special event, please contact the Co-Chairs of this Event at 608-785-9860. Perhaps a customer appreciation river boat excursion, cocktail party or users group event.
Booth Representatives
Each Exhibitor shall provide WI-APCO with the name and title of the person at the Exhibition responsible for the installation, operation and removal of the exhibit. Said representative shall be authorized to enter into such service contracts as may be necessary for which the Exhibitor shall be responsible. Exhibit space must be staffed by representatives of the exhibiting firm, wearing official exhibitor badges, during all times the exposition is officially open.
Liability and Insurance
Exhibitor shall make no claim against WI-APCO, its agents or contractors, for any reason including but not limited to negligence, personal injury, theft, damage, loss of goods or failure to provide exhibition space. All exhibitors will insure themselves, at their own expense, against profit loss or damage and against liability for personal injury and damage to property of others.
Neither WI-APCO, service contractors, building or grounds officials, nor any officers, staff members, or directors of any of the same, shall be responsible for the safety of the property of exhibitors from theft or damage by fire, accident, vandalism, or other causes, nor will they assume liability for any injury that may occur to exhibition visitors, exhibitors or their agents and employees, or others.
Indemnification
The exhibiting firm shall indemnify WI-APCO, all co-sponsoring organizations, the official contractors, and facility management against, and hold them harmless from, any complaints, suits, or liabilities resulting from negligence of the exhibiting firm in connection with the exhibiting firm’s use of exhibit space.
Public Policy
Each exhibitor is charged with full knowledge and compliance with all laws, ordinances and regulations pertaining to health, fire prevention and public-safety as related to the exposition facility.
Food and Beverages
Dispensing or serving beverages or food from the booth must have prior approval of the WI-APCO Conference Vendor Liaison.
Shipping Information:
The Exhibitor permits the La Crosse Center to handle the unloading/reloading, delivery to the booth, and processing of freight shipments made to the exposition as described on the bill of lading. All shipments must be prepaid. Please advise all persons in charge of your exhibits how and when shipments were made. This will help in tracing missing or delayed shipments. The La Crosse Center will not receive freight prior to one week of the official set-up day. Shipments arriving early will be refused or diverted to a warehouse in which case there will be a charge for warehousing plus an additional delivery charge by the trucking company.
Bills of Lading Shipments must be prepaid and should be on straight bill of lading. Address carefully to indicate number of pieces and weight. If there are heavy items which require special handling or care, please forward in advance to the La Crosse Center with detailed handling instructions.
